Position : Administrative and Support Services Officer - Soweto
We are looking for an Administrative and Support Services Officer.
Missions:
- Provide comprehensive administrative support to managers, supervisors, and teams
- Coordinate and arrange all departmental functions and events as require
- Maintain training and continuous professional development records for the department
- Assist in the preparation of functional management reports
- Support the team in focusing on core outputs by managing administrative tasks
- Coordinate meeting logistics, including organizing facilities, setting the agenda, taking and distributing minutes, and assisting with presentation preparations
- Assist with travel arrangements for the team
- Maintain and track relevant functional deadlines, ensuring timely submission of all documentation.
Compliance, Governance, and Assurance:
- Ensure adherence to applicable processes, procedures, and statutory laws and regulations
- Conduct regular compliance audits and report any deviations
- Record, coordinate, and resolve remedial decisions with supervisors
- Uphold governance, policies, standards, and legal compliance within the function, fostering a culture of discipline.
Database Management:
- Capture and release requisitions and service entries in SAP
- Create requisitions for accommodation, travel, meals, visas, and permits, and forward invoices to accounts payable for payment
- Perform regular audits on management information systems
- Maintain a library database for reports, including monthly reports and other relevant documentation.

Minimum Requirements:
Qualifications:
- Grade 12/Standard 10 (Essential/Minimum)
- Certificate in Secretarial Studies (Recommended/Desirable)
Experience:
- 2-3 years of solid administrative experience, preferably within an industrial and/or mining environment (Essential/Minimum).
