Position : Administrative and Support Services Officer - Soweto

We are looking for an Administrative and Support Services Officer.
Missions:

  • Provide comprehensive administrative support to managers, supervisors, and teams
  • Coordinate and arrange all departmental functions and events as require
  • Maintain training and continuous professional development records for the department
  • Assist in the preparation of functional management reports
  • Support the team in focusing on core outputs by managing administrative tasks
  • Coordinate meeting logistics, including organizing facilities, setting the agenda, taking and distributing minutes, and assisting with presentation preparations
  • Assist with travel arrangements for the team
  • Maintain and track relevant functional deadlines, ensuring timely submission of all documentation.

Compliance, Governance, and Assurance:

  • Ensure adherence to applicable processes, procedures, and statutory laws and regulations
  • Conduct regular compliance audits and report any deviations
  • Record, coordinate, and resolve remedial decisions with supervisors
  • Uphold governance, policies, standards, and legal compliance within the function, fostering a culture of discipline.

Database Management:

  • Capture and release requisitions and service entries in SAP
  • Create requisitions for accommodation, travel, meals, visas, and permits, and forward invoices to accounts payable for payment
  • Perform regular audits on management information systems
  • Maintain a library database for reports, including monthly reports and other relevant documentation.

    Minimum Requirements:
    Qualifications:

    • Grade 12/Standard 10 (Essential/Minimum)
    • Certificate in Secretarial Studies (Recommended/Desirable)

    Experience:

    • 2-3 years of solid administrative experience, preferably within an industrial and/or mining environment (Essential/Minimum).
