Job Description
The Field Operations Specialist will manage the performance and development of the field team and group leaders. They will also be responsible for quality control of documents to be sent to the field and will ensure translation, thus contributing to the effectiveness and efficiency of field operations while preserving the positive experience of field staff.
Responsibilities
Plan/Create/Update curriculum/training and professional development guides for the field team following the professional development strategy in place

  • Review the professional development strategy of the existing field team
  • Conduct focus groups or surveys of professional development needs at all levels of the field team.
  • Identify the professional development needs of the field team by level
  • Implement/update training curricula for the field team according to the needs of the field team while updating the strategy in place
  • Create training guides for the field team

Facilitate/coordinate professional development training for field leaders

  • Coordinate the delivery of professional development training and provide specific training as needed
  • Coordinate and/or Facilitate professional development training for office and regional teams and AFD/FDs in collaboration with the training and professional development department
  • Coordinate the facilitation of professional development training for field teams at Field Manager (FM) and Field Officer (FO) level 
  • Coordinate/Facilitate professional development training for the integration of new Assistant Field Directors (AFD)/Field Director (FD)/Assistant Senior Field Director (ASFD)
  • Evaluate the impact of professional development training for the field team

Field Team Performance Management

  • Monitor field team performance reviews, analyze the effectiveness of the tools in place to make improvements where necessary
  • Regularly monitor the progress of the field team's improvement areas and implement initiatives to improve the progress of the field team's performance

Provide coaching to managers in need

  • Coach project coordinators and SFDs in their areas of developmentSFDs dans leurs domaines de développement
  • Coach  targeted FDs  to help them manage districts effectively. 
  • Identify  FMs  having difficulty managing their areas and offer them support if necessary
  • Support in the accountability of Fms in monitoring the activities of its area

Support in the translation of documents and ensuring quality control

  • Translate important departmental documents
  • Ensure quality control of translations made by other teams before being sent either to the field team or elsewhere. 
  • Support in the revision of guides for behavior change initiatives

Group Leaders Portfolio ManagementGroup Leaders

  • Regularly monitor the responsibilities of the FOs and the roles delegated to them by the FOs
  • Organize focus groups or portfolio assessment surveys of Group Leaders (GLs)Group Leaders(GLs)
  • Make recommendations based on the results

GateGate keepingkeeping

  • Ensure the management and verification of speaking points/materials to be sent to the field (quantity and quality)

Ensure the management of sending  urgent material  to the field during weeks when there is no district meeting: d’envoie du 

  • Update the printing schedule and ensure all materials are printed for the next district meeting
  • Monitor the tasks of a FO.

    Requirements:

    • Have at least 3 years of professional experience, preferably in the field of professional training or teaching
    • BAC+3 in social sciences, education or other related field
    • Skills in creating curriculum and training guides
    • Ability to facilitate and evaluate training
    • Strong ability to create and/or adapt training according to the professional development needs of the field team
    • Ability to plan, prioritize and perform work independently
    • Initiative and problem-solving skills
    • Ability to work with multiple stakeholders
    • Languages: Kirundi, French, English required 
    • Advanced computer skills (email, Internet, Microsoft Word, Excel and PowerPoint)
    • Strong communication skills
    • Naturally honest and able to respect the confidentiality of his work

    Desirable conditions

    • Knowledge in data collection and analysis 
    • Coaching and mentoring skills.
