Position : Stores Controller - Ghanzi District

We are looking for a Stores Controller.
1. Purpose of the Role

  • To control the receiving, counting, safeguarding, issuing and disposal of stock items to and from the stores, ensuring that site stock requirements are consistently met in accordance with company procedures.

2. Key Responsibilities
2.1 Inventory Optimisation

  • Control the receipt, issuance and disposal of stock in line with Company procedures.
  • Complete delivery notes and SORs and forward documentation to the relevant department/manager.
  • Process all new stock take-ons and allocate appropriate bins.
  • Monitor stock levels and complete SORs for items reaching minimum thresholds.
  • Maintain minimum and maximum stock levels at all times.
  • Organise inventory to ensure accessibility and safety.
  • Report stock failures, theft and losses, and participate in investigations.
  • Identify and resolve overstocking, under-stocking or out-of-stock situations.
  • Prepare monthly inventory reports and weekly stock-out reports for management.
  • Manage protective clothing records and ensure proper documentation.
  • Collaborate with production to manage slow-moving or dormant stock.
  • Ensure no stock leaves the store without proper authorisation.

2.2 Inbound Control

  • Receive products in good condition and control inbound processes.
  • Capture stock accurately in the system.
  • Allocate products to correct bins for accessibility.
  • Ensure all documentation is accurately completed and recorded.

2.3 Issue Control

  • Monitor shelf life using FIFO (First In, First Out).
  • Ensure correct quantity and timing of stock dispatch.
  • Verify that issued stock is properly packed and damage-free.

2.4 Problem Resolution

  • Resolve damaged stock or shortages.
  • Verify delivery notes against purchase orders.
  • Track damage trends, identify root causes and implement corrective actions.

2.5 Stock Control

  • Supervise regular stock takes and reconcile system vs physical stock.
  • Conduct spot checks and daily cycle counts.
  • Ensure proper stock rotation and correct storage locations.
  • Monitor production and expiry dates.
  • Maintain frozen stock at ≤ -18°C and chilled stock at ≥ -1°C.
  • Prepare and complete monthly stock takes within deadlines.

2.6 Stores Maintenance Management

  • Ensure the store is clean and well maintained.
  • Handle damaged goods according to SOPs.
  • Report maintenance issues to the Camp Manager.
  • Ensure equipment (forklifts, pallet jacks) is in good working condition.
  • Keep bin allocations clear and organised.

2.7 Compliance Control

  • Maintain store standards in line with ISO 22000 and HACCP requirements.
  • Ensure compliance with health and safety standards.
  • Implement safe working procedures.
  • Monitor and record store temperatures.
  • Verify deliveries are made in clean and controlled vehicles.

2.8 Safety and Security

  • Ensure store security at all times.
  • Enforce health and safety rules.
  • Maintain housekeeping standards.
  • Ensure proper documentation for all stock movements.
  • Monitor high-risk areas and daily key product counts.
  • Check door seals daily and supervise security checks.
  • Maintain Material Safety Data Sheets (MSDS).

2.9 Staff Supervision

  • Train staff on Standard Operating Procedures (SOPs).
  • Ensure consistent implementation of procedures.
  • Conduct monthly staff meetings.
  • Manage performance and development.
  • Monitor staff using soft and hard performance point systems.
  • Address performance issues through one-on-one discussions.

2.10 Effective Teamwork & Self-Management

  • Take ownership and accountability for assigned tasks.
  • Maintain quality and productivity standards.
  • Communicate risks and delays proactively.
  • Manage expectations and support team objectives.
  • Demonstrate collaboration and commitment to team success.

  • Minimum of 6 years’ relevant experience in a stores or warehouse environment, including at least 2 years in a supervisory role
