Position : Office Administrator / Receptionist - Nelspruit, Clayville, Polokwane, Welkom

We are looking for an Office Administrator / Receptionist.
Responsibilities :

  • Reception and switchboard management.
  • Send and receive of courier packages.
  • General office admin, including filing ,archiving, laminating and photocopying.
  • Manage office inventory by ordering of stationery, groceries and cleaning materials.
  • Procurement admin – Raising PR and send to Procurement to order
  • Distribution of stationery and consumables to in plants liaising with dispatch.
  • Admin for quarterly stock take, assist with the stock capturing on SAP.
  • Sending of notice by email.
  • Travel Bookings
  • Reading HSE induction to visitors and signing them in.
  • Boardroom Booking
  • Adhoc Duties

Overtime calculations..

  • Send and receive of courier packages.
  • General office admin, including filing and archiving.
  • Manage office inventory by ordering of stationery, groceries and cleaning materials.
  • Procurement admin – quotes, raising purchase orders, GRN of deliveries received.
  • Sales admin assist.
  • Production admin assist.
  • Admin for quarterly stock take.
  • Ensuring all office equipment are in good working condition
  • Arranging of mandatory HSE trainings and certifications (First Aid, Fire Fighting, Forklift licenses, HSE Rep, Handling of dangerous goods in factory and on the road)
  • Petty cash management.
  • Vehicle administration (Licensing, fine management, insurance claims, order and cancelation of fleet cards)
  • Booking of services for Johannesburg branch vehicles
  • Overseeing on-site contractors – cleaner and gardener.
  • Arranging of company functions – boardroom readiness, ordering of food and drink.
  • Assist with employee travel arrangements – flights, hotels, vehicle rentals.
  • Send clocking times to HR on a weekly basis
  • Leave management for Johannesburg branch (Annual and sick)

Desired Experience & Qualification

  • Grade: 12
  • Certificate / Diploma / Degree: Relevant tertiary qualification / Proven experience in accounting / admin or a similar role
  • Years’ Experience: 3-5 years
  • Computer Literacy & level: Proficient in using accounting software and tools / ERP - Sap System and Microsoft Office
  • HR Admin support experience will be an added advantage
  • Strong knowledge of accounting principles and practices.
  • Excellent attention to detail and accuracy in data entry and record-keeping

Excellent written and verbal communication skills, including the ability to communicate effectively with suppliers, service providers and internal stakeholders
