Position : Administrative Assistant - Monrovia
We are looking for an Administrative Assistant.
You will be responsible for managing our front desk, welcoming guests, answering phone calls, and performing a wide range of clerical and administrative tasks. You will work both independently and as part of a team to successfully coordinate corporate activities to achieve organisational goals. Your role will involve working directly and indirectly with both internal and external parties in the best interest of the firm.
Responsibilities :
Administrative Assistants are assigned to a variety of tasks and are given a broad range of responsibilities. These responsibilities include:
- Front desk management
- Provide office operations support such as receiving and screening telephone calls and visitors, and screening and prioritizing mail.
- Maintaining polite and professional attitude on all communication channels
- Welcoming visitors and directing them to the relevant office or personnel.
- Identifying customer needs and ensure customer satisfaction by providing professional customer support.
- Maintain a positive, empathetic, and professional attitude toward customers at all times.
- Forward and escalate inquiries to relevant individuals and departments.
- Keep and update records of customer interactions, comments and complaints as required
- Administrative Support
- Coordinate and manage appointments, meetings, and the conference room schedule to prevent duplicate bookings.
- Maintain general office files, including vendor files, and other files related to the company’s operations.
- Assist with bookkeeping tasks such as entering data on company expenses.
- Serve as liaison to the general public and the firm, facilitating request for information or complaints.
- Provide secretarial support for meetings as and when required, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and arranging refreshments.
- Writing and distributing comprehensive minutes and action points to all members post meeting.
- Maintain confidentiality of information.
- Office Management
- Execute and coordinate office operations such meetings, conferences, workshops and special events
- Coordinates building and equipment maintenance requests; maintains keys and key log for department.
- Monitor the safety and cleanliness of interior areas, collaborating with cleaning agencies and vendors to perform regular, periodical, and special cleaning of all relevant areas
- Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals
- Oversee the maintenance of all office facilities, and equipment.
- Order and purchase office supplies in accordance with operational needs.
Performs other relevant duties when needed.
