Position : Executive Partner - Gaborone, Botswana

We are looking for an Executive Partner.
The Executive Partner provides high-level administrative, organisational, and strategic support to the Executive Office, ensuring the smooth and efficient functioning of the CEO’s office. Beyond traditional executive support, the role actively contributes to marketing coordination, business development initiatives, and public relations activities, supporting the organisation’s external positioning, stakeholder engagement, and growth objectives.
The position plays a critical role in managing executive priorities, facilitating communication, supporting brand visibility efforts, and ensuring alignment between the Executive Office and key internal and external stakeholders, while maintaining the highest levels of professionalism, discretion, and confidentiality
Responsibilities : 
Executive, Operational & Administrative Support

  • Provide comprehensive administrative support, including diary management, scheduling, and coordination of meetings including meetings between executive and senior management, ensuring alignment and preparedness.
  • Manage calendar’s to ensure effective prioritisation of meetings, deadlines, and commitments.
  • Draft, proofread, and manage correspondence, reports, presentations, and briefing notes.
  • Screen calls, emails, and requests, ensuring timely responses and appropriate escalation.
  • Coordinate travel arrangements, accommodation, and itineraries for the CEO.
  • Maintain an effective document management and filing system for the CEO’s office.
  • Support planning and coordination of executives events, strategy sessions and workshops.
  • Assist with tracking deliverables related to strategic initiatives led by the CEO.
  • Prepare meeting agendas, presentations and briefing packs where required.
  • Support ad-hoc projects and assignments as delegated by the CEO.

Stakeholder Coordination & Communication

  • Act as a key point of contact between the CEO and internal and external stakeholders, including Board members, executive management, regulators and service providers, including managing the CEO’s external profile, including speaking engagements, events, and stakeholder forums.
  • Assist in the preparation of marketing materials, presentations, speeches, and executive messaging.
  • Coordinate internal and external communications aligned to the organisation’s brand and strategic positioning.
  • Liaise with the Board Secretary on governancce-related documentation and timelines.
  • Support coordination of public relations activities, including media engagements, press releases, and corporate announcements.
  • Ensure consistency of messaging across communications from the Executive Office.
  • Coordinate logistics and preparation for public appearances and media interactions.
  • Maintain confidentiality and integrity of sensitive information at all times.

Marketing, Brand Support & Business Development

  • Support coordination of marketing initiatives, including campaigns, events, and brand visibility activities.
  • Monitor and track marketing-related activities, ensuring timelines and deliverables are met.
  • Assist the CEO in coordinating business development initiatives, partnerships, and strategic engagements.
  • Conduct basic research and compile briefing materials on potential partners, markets, and opportunities.
  • Track key business development leads, engagements, and follow-ups.
  • Support preparation of proposals, presentations, and reports for prospective stakeholders and partners.

Formal qualifications

  • Bachelor’s Degree in Business Administration, Office Management, Public Administration, Communications, Marketing, or related field.
  • 3-5 years experience in an Executive Assistant, Personal Assistant or Senior Administrative role supporting executive leadership.

Skills

  • Strong organisational, planning and time management skills.
  • Excellent written and verbal communication skills.
  • High level of discretion and ability to handle confidential and sensitive information.
  • Strong attention to detail and accuracy.
  • Ability to work under pressure, manage competing priorities and meet tight deadlines.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
