Operations Controller - Logistics - Cape Town

Purpose: Effectively handle and manage export functions in air and sea freight operations to ensure excellent service delivery and compliance with statutory and client requirements.
Operations:

• Deliver excellent Ocean and Air Freight Service to clients (internal and external) by adhering to client instructions and needs.
• Ensure all work on a file adheres to quoted rates, with any additional disbursements communicated to the client prior to proceeding.
• Oversee control of all files, ensuring compliance with statutory requirements, internal processes, and international shipping practices.
• Manage various administrative duties and document control within the Sea Freight and Air Freight Departments, including:
  • Ensuring timely receipt of correct and complete shipping documentation.
  • Ensuring timely receipt of ANFs, Releases, and invoices from shipping lines, co-loaders, and airlines.
  • Ensuring customs clearance is completed within correct time frames.
  • Notifying transporters and ensuring deliveries/collections are executed within required time frames.
  • Attending to Marine Insurance Claims and ensuring all requirements are met within specific turnaround times.
  • Sending out pre-alerts for exports immediately.
  • Keeping clients (internal and external) informed at all times.
  • Creating and compiling estimates according to client and agent requirements for all transport modes, both imports and exports.

Financial Management / Invoicing:

• Maintain timely and accurate invoicing.
• Forward original invoices to clients with supporting documents to avoid payment delays.
• Manage the profitability of files and report any areas of under-recovery to Management.
• Manage operational costs and control all shipping line/airline/transport invoices and reconciliations.
• Manage all Work In Progress (WIP) and Accruals.

Customs:

• Ensure export entries are framed correctly and submitted in a timely manner.
• Address any acquittals or customs queries immediately.

Queries:

• Resolve any client queries in your portfolio promptly.

Quality Checks:

• Perform quality checks on invoices and documents for clients.
• Ensure clearing and export instructions are completed fully to protect the company.
• Maintain the department’s quality of service to the highest standard.
• Foster a culture of getting it right the first time.
• Take full ownership of each file and manage milestones and exceptions effectively.
• Review operational processes and provide feedback for improvement to ensure continued enhancement.
