Position : Procurement Assistant - Lusaka, Northern

We are seeking a detail-oriented Purchasing Assistant to join our team. Your main responsibility will be to order supplies and equipment in accordance with our company’s needs.This will involve researching new vendors, tracking deliveries, and maintaining accurate order records, including dates, invoices, and discounts. Familiarity with supply chain procedures and the ability to create and interpret cost analyses are important for this role.Your goal will be to make cost-effective purchases while ensuring our inventory remains well-stocked.

KEY DUTIES AND RESPONSIBILITIES:
1. Assist with managing the administrative process throughout the duration of the preparation of the all documentation until the award of the contract.2. Preparation of management information and statistical report. 3. Receive the approved requisitions by Director of the Office of Administration and process the appropriate documents procedures for local or oversea purchases/Services/Contracts. 4. Check and classify the precedence of the requisition and process as priority setting of the material needed. 5. Process and appropriate document and forms for issuing the petty cash from the cashier. 6. Coordinate with requestors and make sure the right materials needed. Find out the sample of material to be purchased if necessary.7. Provide purchased materials to the responsible receiving office and do all actions for completing the process. 8. Maintain appropriated records to ensure that procurement process, decision, and contractual agreement are accurately documented for accountability and audit purpose. 9. Perform other duties related field as assigned by supervisor. 
REQUIREMENTS:
1. Completion of Secondary education required.2. A Bachelor’s Degree in Business Administration, Management, Finance, Procurement, Logistics Management or a relevant field is an distinct advantage. 3. Able to uphold and respect procurement ethics and to conduct activities with integrity. 4. Must be willing and able to meet tight deadlines and work long hours when required. 5. A self-starter, who is able to plan and manage his/her own work, takes initiative and strives to meet deadlines. 6. Good working knowledge of MS Office application (Word, Excel), email and able to easily navigate the Internet.
