Job Summary
The Payroll Officer at GeenGate Foods is responsible for ensuring accurate, timely, and compliant processing of payroll for all employees. This role manages payroll administration, statutory deductions, benefits, and record-keeping while ensuring adherence to company policies and Ghanaian labor and tax regulations.
 Key Responsibilities
1. Payroll Processing

  • Prepare and process monthly payroll accurately and on schedule.
  • Calculate wages, overtime, allowances, bonuses, and deductions.
  • Ensure all employee pay changes (new hires, terminations, salary adjustments) are reflected in payroll.

2. Compliance & Statutory Reporting

  • Ensure payroll is compliant with Ghanaian labor laws and tax regulations.
  • Manage statutory deductions including PAYE, SSNIT, NHIL, E-levy, and other applicable contributions.
  • Prepare and submit statutory returns and remittances on time.

3. Record Keeping & Documentation

  • Maintain accurate payroll files and employee records.
  • Update employee information, contracts, and payroll history in the system.
  • Archive and safeguard payroll records as per policy and legal requirements.

4. Coordination & Communication

  • Work closely with Human Resources to obtain attendance, leave, and benefits information.
  • Liaise with Finance to ensure accurate posting of payroll transactions in the accounting system.
  • Respond to employee inquiries regarding pay, deductions, and payroll issues.

5. System & Process Improvement

  • Support the implementation and maintenance of payroll software/systems.
  • Identify opportunities to streamline processes and improve payroll accuracy and efficiency.
  • Provide recommendations on best practices and compliance requirements.

6. Reporting

  • Generate payroll reports for management, finance, and HR.
  • Prepare periodic cost analysis and projections related to payroll expenses.

 Qualifications

  • Bachelor’s degree in Accounting, Finance, Human Resource Management, Business Administration, or related field.
  • Minimum 5–7 years’ experience in payroll processing or HR/finance role (experience with payroll systems is a plus).
  • Knowledge of Ghanaian payroll regulations and statutory requirements.

 Skills & Competencies

  • Strong numerical aptitude and attention to detail.
  • Proficiency in payroll software (e.g., QuickBooks, Sage, SAP) and MS Excel.
  • Excellent organizational and time-management skills.
  • Strong communication and confidentiality in handling sensitive data.
  • Ability to work within cross-functional teams.
